Memova helps users capture, transcribe, organize, and understand information from conversations, notes, recordings, images, PDFs, documents, and other materials they choose to provide.
We design Memova with privacy in mind. Our goal is to process your information only to provide the features you choose to use, give you meaningful control over your content, and be transparent about how information is handled.
1. Information We Collect
We collect information that you choose to provide or that is necessary to provide Memova.
Content You Provide
Depending on how you use the app, this may include:
- Audio captured during conversations, meetings, consultations, interviews, or personal note-taking
- Speech from you and other participants, such as mentors, colleagues, healthcare providers, legal or financial advisors, managers, clients, or peers
- Transcripts generated from audio
- Notes, edits, tags, prompts, questions, and instructions you enter
- Photos, screenshots, PDFs, documents, and other files you upload
- Summaries, extracted information, answers, drafts, and other AI-generated outputs
- Information you save, organize, search, or ask the app to use as context
- Information you authorize Memova or a connected agent to retrieve from selected services, workspaces, repositories, or accounts
- Personal Manual, HTML Page, Living Book, email, calendar, and other outputs created from the context you choose
Account and Transaction Information
If you create an account or purchase a subscription, we may collect:
- Name, email address, login information, and account settings
- Subscription status and billing-related information
- Payment information processed by our payment providers
- Customer support communications
- Email addresses and communication preferences you provide when you join an early-access list, request updates, or contact us through the website
Technical and Usage Information
We may collect limited technical information necessary to provide, secure, and operate Memova, such as:
- Device type, operating system, app version, and language settings
- Diagnostics, crash reports, and performance data
- IP address, approximate location derived from IP address, and log data
- Cookies or similar technologies if you use our website or web-based services
Website Analytics and Cookies
We use Google Analytics 4, with measurement ID G-9YJQ994J98, to understand how people find and use our public website and whether iOS early-access journeys are useful. Google Analytics may process page URLs and titles, referral information, interaction events, browser and device information, IP-derived approximate location, and cookie or consent status. We do not send the private notes, recordings, transcripts, documents, or agent memory you provide to Memova as analytics event content.
Advertising storage, advertising user data, and ad personalization are disabled in our Google tag configuration. Where consent is required, analytics storage defaults to denied until you allow it. Our website provides an Analytics privacy choices panel where you can allow or reject analytics. After making a choice, use the persistent Privacy choices button to change or withdraw that choice at any time.
We use analytics information to measure website performance, diagnose navigation problems, understand acquisition sources, and improve the public iOS early-access funnel. Google acts as an analytics service provider and may process data in countries other than your own. Analytics retention is controlled through our Google Analytics property settings; aggregated reports may be retained longer than event-level data. 2. Audio and Recording Data
Memova may process audio when you choose to record, transcribe, or analyze a conversation.
Unless we clearly state otherwise in the product, Memova does not store raw audio recordings after transcription is complete. Audio is processed to generate text-based outputs, such as transcripts, summaries, structured notes, and action items.
The app is designed to retain text-based content, not the underlying audio recording, unless you explicitly choose a feature that saves or uploads audio.
3. Files and Documents
When you upload photos, PDFs, documents, or other files, we process them only to provide the features you request. This may include extracting text, identifying relevant information, creating summaries, answering questions, or generating new content based on the materials you provide.
You should only upload files that you have the right to use, process, and store.
4. AI Features
Memova uses AI-powered features to help you:
- Transcribe conversations
- Summarize meetings, consultations, notes, and documents
- Extract key points, tasks, names, dates, decisions, and other relevant details
- Answer questions based on your saved context
- Draft, rewrite, organize, or generate content at your request
- Search and connect information across your notes, transcripts, and uploaded files
We use your content for AI features only to provide the outputs you request.
Where an AI or infrastructure provider processes content on our behalf, it may process only the information needed to provide the feature you requested and is not permitted to use your private content for advertising or to train generalized AI models.
Memova may help identify relationships between sources, draft a Personal Manual or HTML Page, and prepare a proposed action. These outputs are generated from the context you choose and remain subject to your review. Memova does not treat an AI output as your authorization to publish content, send an email, or create or change a calendar event.
AI-generated outputs may be incomplete, inaccurate, or inappropriate for your situation. You are responsible for reviewing outputs before relying on them, especially for medical, legal, financial, employment, education, or other high-impact matters.
5. How We Use Information
We use your information only to provide Memova and the features you choose to use.
This includes using your information to:
- Record, process, and transcribe audio when you choose to use recording or transcription features
- Generate transcripts, summaries, answers, drafts, structured notes, and other outputs you request
- Analyze uploaded photos, PDFs, documents, and other files when you choose to upload them
- Store, organize, search, and retrieve your content for your use
- Use your saved context to answer your questions or generate content at your request
- Connect information across sources you choose and generate Personal Manuals, HTML Pages, Living Books, and proposed actions
- Sync or back up your content if you enable those features
- Provide account access, customer support, billing, and subscription management
- Maintain the security and basic functionality of Memova
- Comply with applicable laws and enforce our terms
We do not use your private content to train AI models, build advertising profiles, or improve Memova for other users.
6. Local-First Design and Cloud Processing
Memova is designed with a local-first approach. Where possible, your content is processed and stored on your device.
Some features may require cloud processing, including syncing, backup, account services, customer support, payment processing, AI processing, or cross-device access. When cloud processing is used, we process your information only as needed to provide the features you choose to use, maintain security and basic functionality, and comply with applicable law.
7. How We Share Information
We do not sell your personal information.
We may share information in the following limited circumstances:
Service Providers
We may work with trusted providers for hosting, cloud infrastructure, transcription, AI processing, payments, customer support, security, and similar services. These providers may process information only as needed to provide services to us and are not permitted to use your content for their own advertising, model training, or unrelated purposes.
Sharing You Direct
Memova is private by default. If you choose to publish a Page, share a Personal Manual or Living Book, export content, or send content through a connected service, we process and disclose the selected content as necessary to carry out your instruction. Public links and social posts may be viewed, copied, or reshared by others, so you should review the content and permissions before sharing.
Legal and Safety Reasons
We may disclose information if we believe it is reasonably necessary to:
- Comply with applicable law, regulation, legal process, or government request
- Protect the rights, safety, and security of users, MEMOVA LLC, or others
- Detect, prevent, or address fraud, abuse, security, or technical issues
- Enforce our terms and policies
8. What We Do Not Do
We do not sell your personal information.
We do not use your private content for advertising.
We do not use your private content to improve Memova for other users.
We do not use your private conversations, transcripts, notes, uploaded files, or generated outputs to train AI models.
We do not store raw audio recordings after transcription unless a feature clearly allows you to save or upload audio.
9. Your Choices and Controls
Depending on your app version and settings, you may be able to:
- Delete transcripts, notes, files, summaries, and generated content
- Edit or remove extracted information
- Manage microphone, photo, file, notification, and other device permissions
- Disable sync, backup, or cloud features where available
- Review and approve a proposed email, calendar event, Page, or other action before it is executed or shared
- Disconnect an integration and revoke its authorization through Memova or the connected provider
- Change or withdraw website analytics choices through the Privacy choices control, where available
- Export your content where supported
- Delete your account
- Contact us to request access, correction, deletion, or portability of your personal information

10. Consent and Recording Responsibilities
You are responsible for using Memova in compliance with applicable laws and professional obligations.
Laws about recording, transcription, consent, and monitoring vary by location and context. In some cases, you may need to notify or obtain consent from other participants before recording, transcribing, summarizing, or analyzing a conversation.
This is especially important for conversations involving healthcare, legal, financial, employment, education, or other sensitive or regulated contexts.
11. Sensitive Information
Your content may include sensitive information, such as health information, legal matters, financial details, employment information, educational records, personal relationships, or information about other people.
Please be careful when recording conversations or uploading files that include sensitive information. You should not provide sensitive information unless it is necessary for your use of the app and you have the right to do so.
12. Data Retention
We retain personal information only for as long as reasonably necessary to provide Memova, maintain your account, comply with legal obligations, resolve disputes, enforce agreements, and protect the security of our services.
When you delete content or your account, we will delete or de-identify associated information within a reasonable period, unless we are required or permitted to retain it for legal, security, backup, fraud prevention, or legitimate business reasons.
Early-access contact information is retained while you remain subscribed or while reasonably necessary to administer the early-access program. You may unsubscribe from marketing updates at any time, and we may retain limited suppression information to honor that choice.
13. Security
We use reasonable technical, administrative, and organizational measures to protect information. These may include encryption, access controls, secure infrastructure, monitoring, and internal policies.
No method of transmission or storage is completely secure. We cannot guarantee absolute security.
14. Children’s Privacy
Memova is not intended for children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us.
15. International Data Transfers
If you use Memova from outside the country where we or our service providers operate, your information may be processed in countries that may have different data protection laws than your own.
Where required, we use appropriate safeguards for international transfers of personal information.
16. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date above and provide additional notice where required.
17. Google Sign-In and Google Workspace Permissions
- Google sign-in. Memova may use Google sign-in to help you securely access your account and identify the workspace associated with your account. When you sign in with Google, we may receive basic Google profile information, such as your name, email address, and profile image.
- Gmail permissions. Memova uses Gmail permissions only if you choose to connect Google Workspace features and confirm a related email action. Depending on the action, Gmail permissions may allow Memova to process email draft content, recipients, subject lines, message bodies, attachments you choose to provide, and related metadata only as needed to help you draft, review, and send emails from within Memova. Memova will not send emails without your authorization and explicit confirmation.
- Google Calendar permissions. Memova uses Google Calendar permissions only if you choose to connect Google Workspace features and confirm a related calendar action. Depending on the action, Google Calendar permissions may allow Memova to read existing calendar availability and event information to help detect scheduling conflicts, avoid duplicate events, show relevant calendar context, and help you create or update calendar events from within Memova. Memova will not create, update, delete, or share calendar events without your authorization and explicit confirmation.
- Use limits for Google user data. We do not use Google user data for advertising, unrelated purposes, or to train generalized AI models. Google user data is used only to provide the Google Workspace features you request and confirm. Memova will not automatically send emails or create calendar events without your authorization and explicit confirmation. Sending an email or creating or changing a calendar event requires your permission and a clear user-confirmed action.
- Limited use. Memova’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
- Service providers. Google user data may be processed by our service providers only as necessary to provide user-requested Memova features, such as authentication, secure infrastructure, AI-assisted drafting, email actions, calendar actions, support, security, and similar services. These providers are not permitted to use Google user data for advertising, model training, or unrelated purposes.
- User controls and deletion. You can disconnect Google authorization from Memova at any time through your Google account permissions or Memova account settings, where available. You may also contact us at [email protected] to request deletion or removal of Google-related data associated with your account, or to request deletion of your account data.
18. Early Access, Public Pages, and Connected Services
- Early access. If you submit an email address to join early access or receive product updates, we use it to administer the program and send the communications you requested. You may unsubscribe using the link in a message or by contacting [email protected].
- Public Pages and sharing. Content remains private unless you choose to share or publish it. Before publishing, review the Page, Personal Manual, Living Book, recipients, link permissions, and any information about other people. If you make content public or share it with a third party, that party may retain or redistribute it outside Memova.
- Connected services and agents. Memova accesses a connected account, workspace, or agent only after you initiate a connection and grant the requested permission. The information available to Memova depends on the service and scope you approve. You can revoke access through the connected provider or Memova settings, where available.
- Proposed actions. When Memova prepares an HTML Page, email, calendar event, or other action, the proposal is not executed merely because it was generated. A user review and confirmation step is required before an external action is completed, unless you separately enable and are clearly informed of an automation setting.
19. Regional Privacy Rights
United States
Depending on where you live and whether an applicable state privacy law covers Memova, you may have the right to confirm whether we process your personal information; access, correct, or delete it; receive a portable copy; and opt out of certain sales, sharing, targeted advertising, or profiling. You may also have the right to limit certain uses or disclosures of sensitive personal information and to appeal a decision on your request.
Memova does not sell personal information or share it for cross-context behavioral advertising. We do not use private content for targeted advertising. The categories of information we may collect, the sources from which we collect it, the purposes for which we use it, and the types of service providers to which it may be disclosed are described in Sections 1, 5, and 7. Our retention criteria are described in Section 12.
We may need to verify your identity before completing a request. Where permitted, you may use an authorized agent. We will not discriminate against you for exercising an applicable privacy right. If applicable law gives you a right to appeal our decision, reply to our response or contact [email protected] and state that you are submitting an appeal.
Canada
If Canadian federal or provincial privacy law applies, you may request access to or correction of your personal information, withdraw consent subject to legal or contractual restrictions and reasonable notice, and raise a concern about our privacy practices. We collect, use, and disclose personal information only for purposes that a reasonable person would consider appropriate in the circumstances and as otherwise permitted by applicable law. Information may be processed by service providers outside Canada and may be subject to the laws of the country where it is processed.
Other Regions
If the laws where you live provide additional mandatory rights, those rights remain available to you. This may include rights to object to or restrict processing, withdraw consent, or complain to a local data protection authority. The availability of a right depends on the law that applies to Memova and your use of the Service.
